Terms of Service

Event Hub is a service for running the attendee side of an event: tickets and registration, a personal pass, a schedule, a directory of who is in the room, questions, a community board, a guide, perks, testimonials and email. It is operated by The Digital Third, a business based in British Columbia, Canada (“Event Hub”, “we”, “us”).

These Terms apply to everyone who uses Event Hub — organizers, who create and run events, and attendees, who join them. If you organize events, the Organizer Agreement also applies to you and covers fees and billing. The Privacy Policy explains how we handle personal information. By creating an account, opening a pass link, or otherwise using Event Hub, you agree to these Terms.

1.Your account

Event Hub has no passwords. You sign in with a one-time link sent to your email address, or by opening the personal pass link an organizer sent you. Anyone who can open your email can sign in as you, so keep your inbox secure and tell us promptly at josh@thedigitalthird.com if you think someone else has used your account.

There is one kind of account for everyone. The same account can attend one person’s event and organize its own. You must give us an email address you control and information that is accurate.

To organize an event you must be the age of majority where you live and able to enter into a binding contract. If you use Event Hub on behalf of a company or other organization, you confirm that you are authorized to accept these Terms for it. Attendees under the age of majority may use an event’s hub only with the permission of a parent or guardian and of the organizer.

2.Attendee profiles and the directory

Many events include a directory of attendees (“who’s in the room”). If you fill in a profile — your name, photo, what you do, links, and similar details — it is shown to the other attendees and the organizer of that event, and only while you are opted in to that event’s directory. Each event has its own opt-in, and you can switch it off for any event from your profile in that hub.

Your profile is persistent: once your email address has been verified (by opening a pass link sent to it, or by signing in with a one-time link), the profile you have already written is carried into the next event you join, so you do not have to write it again. Editing your profile from your account updates it across the events you have joined. Details that belong to a single event — your ticket, your role, what you are looking for at that event, answers to the organizer’s own questions — stay with that event.

Other attendees never see your email address, phone number, ticket type or the organizer’s private notes. The organizer of an event you join can see the registration details you gave for that event.

3.Acceptable use

Use Event Hub for real events and treat the people in them decently. You agree not to:

  • use the service for anything unlawful, fraudulent or deceptive, including selling tickets to events that you do not intend to hold;
  • harass, threaten, impersonate or discriminate against other people, or post content that is hateful, sexually explicit, or that infringes someone else’s rights;
  • collect or use other attendees’ information for anything other than connecting with them about the event — no scraping, no bulk export of a directory, no adding people to marketing lists without their consent;
  • send spam or unsolicited commercial email through Event Hub, or email people who have not registered for or been invited to your event;
  • probe, overload, reverse-engineer or interfere with the service, bypass its limits, or access data that is not yours;
  • resell or white-label the service without our written agreement.

Organizers can remove posts, questions and people from their own events. We may remove content or suspend an account that breaks these rules or puts other users or the service at risk.

4.Organizer content and attendee data

Organizers are responsible for their events. That includes the accuracy of the event listing, the event itself (venue, safety, accessibility, age restrictions, licences and insurance), ticket pricing, refunds and cancellations, and everything the organizer publishes or sends through Event Hub. We provide the software; we are not a party to the arrangement between an organizer and their attendees, and we do not endorse or vet events.

An organizer’s attendee list belongs to the organizer. As between us and the organizer, the registration and attendee data collected for an event is the organizer’s. We process it on the organizer’s behalf in order to run the hub — issuing passes, checking people in, showing the directory, sending the organizer’s emails — and organizers can export it at any time. Organizers are responsible for having a lawful basis to collect and use their attendees’ information, for honouring attendees’ privacy requests about that event, and for complying with the anti-spam and privacy laws that apply to them.

The account-level profile described in section 2 is the attendee’s own and is handled as described in our Privacy Policy.

You keep ownership of everything you upload or write. You grant us a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, display and transmit that content only as needed to operate, secure and improve the service for you and the events you take part in. A testimonial you submit is shared with the organizer of that event. If you leave the “share publicly” box ticked, you also give that organizer permission to publish it — on the event’s testimonial wall, their website, their social channels and future event pages.

5.Tickets and payments

Ticket sales run on the organizer’s own Stripe account, connected to Event Hub through Stripe Connect. Each purchase is a direct charge on the organizer’s account: the organizer is the merchant of record, the organizer’s name appears on the buyer’s statement, and the money goes to the organizer’s Stripe balance. We never hold ticket funds.

Because of that, refunds, cancellations, chargebacks and disputes are between the buyer and the organizer, and are handled by the organizer in their own Stripe dashboard. Buyers should contact the organizer first (the organizer’s contact address is on the event page and in the pass email). Stripe’s own terms apply to payments, and Stripe charges the organizer its card-processing fees.

Event Hub never adds a fee to an attendee’s checkout. What organizers pay us, and how, is set out in the Organizer Agreement.

6.Email sent on an organizer’s behalf

Event Hub sends email for organizers: pass emails, sign-in links, and messages the organizer writes to the people registered for their event. These are sent from our platform address in the organizer’s name with replies going to the organizer, or from the organizer’s own address once they have verified their domain.

Organizers may email only people who registered for, bought a ticket to, or were invited to their event, about that event. Organizers are the sender of those messages for the purposes of anti-spam law (including Canada’s CASL) and are responsible for their content. We may limit sending volume, and we may pause sending for an event that generates complaints or bounces.

7.AI-assisted setup

To set up an event quickly, you can paste a description of your event or a link to an existing event page. That text, and the content of a page you link to, is sent to a third-party AI provider, which returns a draft of your event details for you to review and edit.

  • The draft is a starting point. It can be incomplete or wrong — check every detail before you publish. You are responsible for what your event page says.
  • Do not paste sensitive personal information (guest lists, health or financial details, government identifiers, private messages). The setup box is for information about the event, not about people.
  • Only paste content or links that you have the right to use.

We may limit how often the setup tool can be used, and it may be unavailable from time to time.

8.Our service and intellectual property

Event Hub — the software, design, text and trademarks, excluding your content and the organizers’ brands — belongs to The Digital Third. We grant you a limited, revocable, non-transferable right to use it in accordance with these Terms. If you send us feedback or suggestions, we may use them without obligation to you.

9.Third-party services

Event Hub relies on other companies’ services, including Stripe (payments), Resend (email), Supabase (database), Vercel (hosting and file storage) and an AI provider (event setup). Hubs may also embed or link to content hosted elsewhere, such as videos, maps and photo galleries chosen by the organizer. We are not responsible for third-party services or content, and your use of them may be subject to their own terms.

10.Availability and warranty disclaimer

We work to keep Event Hub running well, especially on event days, but we do not promise that it will be uninterrupted, error-free or available at any particular moment. Features change; we may add, alter or retire them. Organizers should keep an exported copy of their guest list for the day of the event.

To the fullest extent the law allows, Event Hub is provided “as is” and “as available”, without warranties or conditions of any kind, express, implied or statutory, including implied warranties or conditions of merchantability, fitness for a particular purpose and non-infringement.

11.Limitation of liability

To the fullest extent the law allows, The Digital Third and its owners, staff and contractors will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data, goodwill or ticket sales, arising from or related to Event Hub or these Terms, however caused and even if we were told the loss was possible.

Our total liability for all claims arising from or related to Event Hub or these Terms is limited to the greater of (a) the amounts you paid us for the service in the twelve months before the event giving rise to the claim, and (b) one hundred Canadian dollars (CAD $100).

We are not liable for the acts or omissions of organizers or attendees, for events themselves (including cancellation, injury, loss or damage at an event), or for disputes about tickets or refunds. Nothing in these Terms limits liability that cannot be limited under applicable law, and some jurisdictions give consumers rights that these Terms do not take away.

12.Indemnity

If you organize events, you agree to indemnify The Digital Third against claims, losses and reasonable costs (including legal fees) brought by a third party and arising from your events, your content, your use of attendee data, your emails, or your breach of these Terms or of the law.

13.Suspension and termination

You can stop using Event Hub at any time. Organizers can delete their events from the dashboard, and anyone can ask us to delete their account by writing to josh@thedigitalthird.com.

We may suspend or end your access if you break these Terms, if we are required to by law, if your use creates risk for other users, for us or for our providers, or if we stop offering the service. Where it is reasonable to do so we will give notice and, for organizers, a chance to export their data first. Sections that by their nature should survive — including ownership, disclaimers, limitation of liability, indemnity and governing law — continue after termination.

14.Governing law and disputes

These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada that apply there, without regard to conflict-of-laws rules. The courts of British Columbia, sitting in Vancouver, have exclusive jurisdiction over any dispute, except that either of us may seek urgent injunctive relief in any court with jurisdiction. If you are a consumer, you may have the right to bring a claim where you live; these Terms do not remove that right.

15.Changes to these Terms

We may update these Terms as the service changes. When we make a material change we will update the date at the top and tell account holders by email or in the dashboard at least 14 days before it takes effect, unless the change is required sooner by law or for security. If you keep using Event Hub after a change takes effect, you accept the updated Terms. If you do not agree, stop using the service; changes do not apply retroactively to disputes that arose before them.

16.General

These Terms, the Privacy Policy and — for organizers — the Organizer Agreement are the whole agreement between you and us about Event Hub. If a court finds part of them unenforceable, the rest stays in effect. If we do not enforce a term, that is not a waiver of it. You may not transfer your rights under these Terms without our consent; we may transfer ours to a successor of the business. Nothing in these Terms creates a partnership, agency or employment relationship.
